SqoolHQ vs Uganda's Other School Apps: What's Different?

Uganda’s school software market has grown impressively — Shulekeeper, Dalton, SchoolGaze, SDMS, Akademik IT, and others all serve schools well (we rounded them up here). So when we say SqoolHQ is different, we’re not saying the others are bad. We’re saying we built around a different centre of gravity: the term-end crunch.

What most platforms optimise for

Scan the features of most school management platforms and you’ll find the same long list: admissions, records, fees, attendance, exams, timetables, library, hostels, SMS gateways, websites. These are management systems — designed to run the institution. They are comprehensive, and comprehensiveness is what many schools genuinely need.

What SqoolHQ is built around

We built SqoolHQ around the three jobs that decide whether a term runs smoothly — and that dominate a small school’s office:

1. Fees that reconcile. A live per-student balance ledger where the bursar records cash, bank slip, or mobile money in one tap, prints a receipt, and sees the whole school’s collections at term end. Fee balances gate exam clearance and report cards, so getting this right protects revenue directly.

2. A gradebook that produces report cards — fast. Spreadsheet-style mark entry (Enter and Down Arrow, auto-save), automatic totals, percentages, and rankings, and report cards that print in the format Ugandan schools use — UNEB-ready for PLE, UCE, and UACE cohorts. 3. A parent portal that parents actually use. Read-only, focused on three things — balances, report cards, updates — with a simple ID-and-PIN login that fits on an access slip and works on a basic phone over modest data. No app install, no password reset circus.

The trade-offs, stated plainly

• Not a full ERP. We don’t do hostel management, bus tracking, or a school website builder. For schools that need those, a broader platform makes sense. For schools whose pain is fees, report cards, and parent communication, the focus is the point: less to learn, less to pay for, nothing cluttering the screens staff use daily.
• Role-scoped by design. Teachers see only their classes and subjects; the bursar sees finance; the director sees the school. Everything sensitive is audit-logged. That’s a security posture first, a feature second.
• Built for real connectivity. Light pages and fast workflows, because a system staff can’t reach on a patchy connection is a system they won’t use.

Who should choose which

• Large or multi-campus schools with complex administration: a broader Ugandan platform (or an international suite) is probably the better fit.
• Schools whose bottleneck is the term-end crunch — fees to chase, report cards to compile, parents to answer: this is exactly the job SqoolHQ is built for.
